Productivity Software for Solo Work: Choose by Bottleneck, Not Feature Count

A decision guide for task managers, workspaces, daily planners, and AI schedulers — plus a 14-day replacement test before you subscribe.

The useful question is not "Which productivity app is best?" It is "Which part of my workflow is currently failing — capture, organization, planning, or rescheduling?"

A solo worker can now buy software for almost every layer of work: tasks, notes, databases, calendars, daily planning, AI scheduling, meeting notes, habits, focus timers, automations, and more.

That makes the buying decision harder, not easier.

The common mistake is to compare long feature lists before deciding which problem needs to disappear. A task manager, a workspace, a daily planner, and an AI scheduler can all contain overlapping features while solving different primary problems.

This guide uses current official documentation from Todoist, TickTick, Notion, Sunsama, and Motion, checked on September 1, 2026. It is not a hands-on ranking: PRYNOTLA has not run a controlled test across these five products, so we do not claim that one is universally faster, easier, or more productive.

Instead, the goal is to help you choose the software layer that matches your bottleneck — and avoid paying for two or three tools that are trying to solve the same problem.

The Short Answer

Start with the failure in your current system:

  • If tasks are easy to forget or slow to capture, start with a task-first manager.
  • If projects, notes, references, and structured information are scattered, start with a workspace/database tool.
  • If your task list is fine but your days are overloaded or unrealistic, consider a daily-planning/timeboxing layer.
  • If manually rebuilding the calendar is the recurring burden, consider an AI scheduling layer.
  • If none of those failures is expensive or frequent, the correct answer may be do not buy another productivity app yet.

Representative tools occupy different positions:

  • Todoist — task-first execution and capture.
  • TickTick — tasks plus calendar, habits, focus, and planning utilities.
  • Notion — flexible workspace for docs, databases, projects, and structured knowledge.
  • Sunsama — guided daily planning and timeboxing across existing tools.
  • Motion — AI-assisted task prioritization, scheduling, projects, calendar, and broader work management.

These categories overlap. The point is not to force each product into one box; it is to understand what you are paying it to replace.

One product may cover multiple layers. Overlap is useful only when it replaces work rather than duplicating it.

Layer 1 — Capture and execution

This layer answers:

What do I need to do next, and can I capture it quickly enough that I trust the list?

A task-first tool belongs here.

Todoist's current Beginner plan is free. Its official plan FAQ lists Pro at $7/month or $60/year, with higher limits and paid features such as calendar layouts and custom reminders. Todoist supports due dates and times across plans, while its Pro and Business tiers add broader planning capacity and views.

TickTick also starts from tasks, but its product pages combine them with calendar views, a habit tracker, Pomodoro focus tools, an Eisenhower Matrix, statistics, and other planning utilities. TickTick currently advertises Premium at US$49.99/year, or less than US$4.17/month when averaged across the year.

The important distinction is not which checklist is longer.

Ask:

  • Can I add a task in seconds?
  • Can I find today's work without maintaining a complex dashboard?
  • Do recurring tasks, reminders, dates, and priorities behave the way I expect?
  • Do I need a calendar view inside the task tool?
  • Am I trying to solve task capture — or something larger?

If a simple task list is already reliable, buying a more elaborate task manager may just move the same tasks into a new interface.

Layer 2 — Project knowledge and structure

This layer answers:

Where do projects, notes, references, decisions, and structured information live?

Notion is a useful example because its scope is different from a dedicated to-do list.

Notion describes itself as a connected workspace combining docs, wikis, projects, and databases. Its Free plan is $0 and is designed for individuals organizing personal projects and life. Its pricing page currently shows Plus starting at $10 per member/month when billed annually; monthly billing is also available at a higher price.

For solo work, the more important capability is structural flexibility. Notion databases can contain task properties, custom fields, sub-items, dependencies, and multiple views. Notion Calendar is free to use and can display dated database items alongside connected calendars.

That flexibility is valuable when the real problem is not "remember this task," but:

  • keep the brief, research, notes, assets, tasks, and status together;
  • build a project database with custom fields;
  • connect related information;
  • create multiple views of the same work;
  • keep a long-lived knowledge system rather than a short-lived task queue.

But flexibility has a cost: somebody has to design and maintain the structure.

That is why a workspace and a task manager can be complementary rather than interchangeable. A reasonable solo setup may use one system as the project/knowledge system of record and another as the fast execution list.

Do not duplicate every field between the two. The moment both tools require manual maintenance of the same status, dates, priorities, and notes, your "stack" has created a synchronization job.

Layer 3 — Daily planning and timeboxing

This layer answers:

I know what the tasks are. Which ones realistically fit today, and when will I work on them?

Sunsama is built strongly around this problem.

Its current user manual describes a guided daily-planning flow that pulls together tasks, meetings, backlog items, integrations, planned time, and a shutdown time. It also supports timeboxing: placing tasks onto a calendar as working sessions.

Sunsama can integrate Google, Outlook, and Apple/iCloud calendars. Its documentation also describes importing tasks from connected tools and using time estimates to build a realistic daily plan.

Current pricing is unusually simple:

  • 14-day free trial, no credit card required;
  • $22/user/month when paid monthly;
  • $204/user/year, equivalent to $17/month when paid annually.

That is materially more expensive than a simple task manager.

So the decision should not be:

"Does Sunsama look calmer than my current app?"

It should be:

"Does guided daily planning remove a recurring planning burden that is worth roughly this subscription?"

A daily planner is more plausible when:

  • your task list is trustworthy but constantly too long for the available day;
  • meetings and focus work compete for the same hours;
  • you repeatedly overcommit;
  • you already use another task/project tool and want a planning layer above it;
  • timeboxing is useful, but rebuilding time blocks manually is friction.

It is less compelling when a normal calendar plus a short daily list already gives you enough structure.

Layer 4 — Automated prioritization and rescheduling

This layer answers:

Do I want software to keep rebuilding the plan when priorities, deadlines, and available time change?

Motion currently positions itself much more broadly than a calendar.

Its official product page lists AI Projects & Tasks, AI Calendar & Meetings, AI Docs/Wiki/Notes, an AI Task Planner, integrations, and other work features. Motion says its AI Task Planner uses task priorities, dependencies, deadlines, durations, and preferences to prioritize and schedule work automatically.

Its current pricing page advertises Pro AI at $19 per seat/month in the displayed annual-pricing state and offers a monthly/annual billing toggle. Motion's own pricing material has described the annual individual rate as $19/month, with monthly billing higher. Verify the current checkout price because the product and plan structure can change.

This is a different purchasing decision from Todoist or TickTick.

If you choose Motion primarily for auto-scheduling, test whether you are willing to maintain the inputs that scheduling depends on:

  • priorities;
  • deadlines;
  • durations;
  • working hours;
  • dependencies;
  • exceptions.

Automation does not eliminate the need for correct inputs.

A dynamic scheduler is more plausible when your real recurring cost is replanning — for example, tasks repeatedly need to move around meetings, deadlines, and changing priorities.

It may be unnecessary if:

  • your calendar is relatively stable;
  • you prefer to choose the sequence yourself;
  • most tasks do not have meaningful duration estimates or deadlines;
  • you would spend more time correcting the automated plan than building a simple one.

Because Motion now overlaps with tasks, projects, documents, meetings, and AI workflows, it can also become a consolidation decision rather than an add-on decision. If it replaces two tools, the cost analysis is different from layering it on top of four existing subscriptions.

Five Current Tools, Viewed by Their Primary Buying Logic

Todoist: buy it for task execution, not because it has the longest feature list

Current official facts:

  • Beginner plan: free.
  • Pro: $7/month or $60/year.
  • Beginner includes up to 5 active personal projects.
  • Pro increases that to up to 300.
  • Due dates and times are part of core task management.
  • Calendar layouts are available on Pro and Business.
  • Pro adds broader reminder, filter, history, backup, and newer AI-assisted capabilities.

More plausible fit: you want a dedicated task system with quick capture, recurring work, dates, priorities, and a relatively focused mental model.

Weak reason to upgrade: you are hoping a more powerful to-do list will solve unclear priorities or an impossible calendar.

TickTick: buy it when you want tasks plus built-in personal productivity utilities

Current official facts:

  • Premium currently advertises US$49.99/year.
  • Calendar views include yearly, monthly, weekly, daily/agenda-style planning.
  • TickTick also advertises Habit Tracker, Pomodoro, Eisenhower Matrix, statistics, reminders, and integrations.

More plausible fit: you want task management and also value having calendar/focus/habit utilities in the same product.

Weak reason to buy: you already use dedicated tools for those functions and do not want another overlapping dashboard.

Notion: buy it for flexible information architecture

Current official facts:

  • Free plan: $0.
  • Plus currently starts at $10/member/month billed annually; monthly billing is available at a higher rate.
  • Notion combines docs, wikis, projects, and databases.
  • Databases support sub-items, dependencies, custom properties, and multiple views.
  • Notion Calendar is free and can display dated Notion database items.

More plausible fit: the work itself has structure — projects, content pipelines, research, briefs, references, assets, status fields — and you want one configurable system of record.

Weak reason to buy: you mainly want to capture "call Alex tomorrow" faster.

Sunsama: buy it for the daily planning ritual

Current official facts:

  • 14-day free trial with no credit card.
  • $22/user/month monthly.
  • $204/user/year annually, equivalent to $17/month.
  • Guided daily planning is a core workflow.
  • Tasks can be timeboxed onto a calendar.
  • Google, Outlook, and Apple/iCloud calendars can be integrated.
  • Tasks can also be imported from connected tools.

More plausible fit: your source tasks already exist, but translating them into a realistic day is the painful step.

Weak reason to buy: you do not actually use a daily planning or timeboxing workflow.

Motion: buy it if automatic replanning is the job you want software to take over

  • The product now includes projects/tasks, calendar/meetings, docs/wiki/notes, AI task planning, and integrations.
  • Motion says its AI Task Planner prioritizes and schedules tasks using factors including deadlines, priorities, durations, and dependencies.
  • Tasks can be auto-scheduled onto the calendar and rescheduled as conditions change.

More plausible fit: maintaining the schedule itself is a recurring operational burden.

Weak reason to buy: the inputs required for automatic scheduling are not maintained accurately, or you prefer manual control.

The Overlap Tax: When More Software Creates More Work

A productivity stack creates value only when each tool removes a distinct step.

A simple architecture for solo work is:

  1. System of record — where durable project information lives.
  2. Execution layer — where next actions are captured and completed.
  3. Planning layer — where work is fitted into actual time.
  4. Automation layer — optional; software changes the plan or moves information automatically.

One product can cover several layers.

That is fine.

The problem begins when two products both become authoritative for the same information.

System of Record → Execution → Planning → Automation (optional)

A tool can cover more than one layer. Do not maintain the same source-of-truth fields manually in two places.

Examples:

Notion + Todoist can be complementary

A clean division might be:

  • Notion = projects, research, briefs, long-lived context.
  • Todoist = next actions, dates, recurring tasks.

The division fails if you manually copy every status, due date, priority, and note into both.

Todoist + Sunsama can be complementary

Sunsama can act as a planning layer above an existing task source. The buying question becomes whether the daily-planning/timeboxing layer is worth the additional subscription and review routine.

TickTick + another calendar planner may overlap heavily

TickTick already includes calendar views and planning utilities. Adding another planning tool should remove a specific limitation, not simply produce a second calendar.

Motion can replace or duplicate multiple layers

Because Motion now includes tasks, projects, calendar, documents, and AI planning, adding it on top of a mature task + workspace + planner stack may increase overlap. It makes more sense when you deliberately decide which existing tool it replaces.

Use a Replacement Test, Not a Feature Test

Feature tours reward software for having features.

Your business and personal workflow should reward software for removing work.

Before paying, run a 14-day replacement test.

Write one sentence:

Examples:

  • tasks get lost between email and my list;
  • I spend too long deciding what fits today;
  • project information is spread across files and notes;
  • I rebuild my calendar several times per week.

Do not test five problems at once.

Days 1–3 — Test capture

Use normal work.

Record:

  • where new tasks arrive;
  • how quickly you can capture them;
  • whether you trust them to reappear at the right time;
  • whether capture now requires duplicate entry.

Days 4–7 — Test planning

Observe:

  • how long it takes to decide today's work;
  • whether the calendar reflects realistic available time;
  • how many tasks require manual rescheduling;
  • whether the tool surfaces deadlines without building a complex view.

Days 8–12 — Test disruption

Do not judge the tool only on a clean week.

See what happens when:

  • a meeting moves;
  • an urgent task appears;
  • a task takes longer than estimated;
  • you skip a day;
  • a project changes priority.

The recovery workflow often matters more than the perfect-day workflow.

Days 13–14 — Test maintenance

Ask:

  • How much time did I spend configuring the system?
  • Did I create duplicate records in multiple apps?
  • Did I stop checking one of my old tools?
  • Which exact step disappeared?
  • Which subscription could this replace?
  • If I cancel today, what useful behavior would I actually miss?

That final question is more useful than "Did I enjoy the interface?"

A Practical Two-Tool Default

For many solo workflows, a useful default is:

one durable system of record + one fast execution/planning layer

Examples:

  • Notion + Todoist
  • Notion + TickTick
  • existing project tool + Sunsama

This is not a rule. It is a constraint against accidental software sprawl.

Add a third core tool only when you can name the specific missing job it performs.

If Motion or another broad platform replaces both layers successfully, consolidation may be more rational than maintaining separate apps.

The objective is not to own a sophisticated productivity stack.

The objective is to reduce the number of places where you must decide, duplicate, reconcile, and remember.

What About AI Features?

AI features are increasingly bundled into productivity software, but they should not be evaluated as one category.

Ask what the AI actually changes.

Examples from current official product descriptions include:

  • capture and task assistance;
  • generating or restructuring workspace content;
  • prioritizing tasks;
  • scheduling tasks onto available calendar time;
  • creating workflows or documents.

A useful AI feature removes a repeatable step.

An AI label attached to a feature you rarely use is not a reason to change systems.

Treat vendor claims about time savings, output, or productivity as vendor claims unless you measure the result in your own workflow.

Cost Matters Most When Tools Overlap

The price of one productivity tool may be small relative to the value of your time.

But five modest subscriptions can become expensive while also increasing maintenance.

Do not add the prices and choose the cheapest.

First identify which tools would coexist.

The financially relevant comparison is often:

new subscription cost – subscription(s) it replaces

plus the maintenance burden that remains.

A Final Decision Rule

Choose a task manager when the failure is capture and execution.

Choose a workspace when the failure is project information and structure.

Choose a daily planner when the failure is turning tasks into a realistic day.

Choose an AI scheduler when the failure is repeated calendar replanning.

Choose nothing new when you cannot identify a recurring failure worth replacing.

Then run the software for a representative two weeks and ask one question:

Which recurring step disappeared?

If you cannot answer that clearly, the app may be interesting — but it has not yet earned a permanent place in your stack.
